Google Workspace is adding a feature that lets admins show a short custom policy message in the Meet “Green Room” before users join a video call. The notice can include a link and can be set to appear only when meetings are being recorded, transcribed, or have Gemini‑generated notes.
In short
- Google Meet can now show a custom policy notice before calls.
- You control when the notice appears – always or only for recordings/transcripts.
- Enable the feature in the admin console under Meet Safety Settings.
What it means for you
- Your team sees your meeting‑recording and data‑handling policies before they join, helping compliance.
- You can link to full policy details, reducing questions and liability.
- The feature is optional and can be turned on only for recordings or always, giving you control.
The details
What happened
Google Meet is introducing a setting that displays a custom, short policy message in the Green Room prior to a call. Admins can add a URL for more information and choose whether the notice appears always or only when the meeting is being recorded, transcribed, or has Gemini‑generated notes. The feature is OFF by default and can be turned on for specific organizational units via the Meet Safety Settings in the admin console. Rollout began on November 2, 2026 for Rapid Release and Scheduled Release domains and may take up to 15 days to become visible.
What it means for your business
If you use Google Meet for client consultations, internal briefings, or sales calls, you can now remind staff and visitors of your policies on recordings, transcripts and AI‑generated notes before they join. This helps enforce privacy rules, meet industry regulations and avoids accidental data exposure. Because the notice can include a link, you can keep the on‑screen text brief while still providing full policy details.
What to do
- Turn the “Display custom policy in Green Room” setting ON for the desired organizational unit.
- Enter your short policy text (keep it concise) and add a link to the full policy page if needed.
- Choose whether the notice shows for every meeting or only when recordings, transcriptions or Gemini notes are active.
- Save the changes and inform your team that a new pre‑call notice will appear.
