These Workshop Terms apply when you book a seat in an Open Arm Solutions public workshop or book a private workshop for your team. They are part of our Terms of Use. Our Privacy Policy explains how we handle the information you give us when you register.
At a glance
- Payment is due in full when you book a public workshop seat.
- Cancel 7 or more days before the start time: full refund.
- Cancel less than 7 days before: full credit toward a future public workshop.
- No-show: no refund or credit, but you can send a colleague in your place at any time before the start.
- If we cancel or reschedule: you choose a full refund or a free transfer.
- Private team workshops: a 50% deposit reserves your date.
Part A: Public workshops
Public workshops are sold per seat and usually run about 2 to 2.5 hours. Most are held live online; some are held in person in South Florida. Each workshop's page shows its date, start time (Eastern Time unless stated otherwise), format, location or platform, price, and minimum enrollment.
1. Booking and payment
- Payment is due in full at booking and is processed by Stripe.
- Your seat is reserved once payment succeeds and you receive our confirmation email.
- Each seat is for one named attendee. You may register several attendees in one booking.
- Prices do not include any taxes that may apply; if any apply, they are shown at checkout.
2. What your seat includes
- The live session, including time for questions.
- Digital materials used in the session, such as slides, checklists, or templates, sent after the workshop.
- For virtual sessions, a joining link sent before the session. For in-person sessions, the venue address and arrival details.
- A replay, only when the workshop page says one will be offered (see section 8).
A workshop seat does not include individual consulting about your business beyond the questions answered during the session.
3. Sending someone in your place
If you cannot attend, you may transfer your seat to a colleague at no charge at any time before the workshop starts. Email openarmsolutions@gmail.com with their name and email address.
4. Your cancellations, refunds, and credits

- To cancel, email openarmsolutions@gmail.com from the address you booked with. The time we receive your email decides which row above applies.
- Refunds are issued within 5 business days after we receive your cancellation. Your card issuer may take another 5 to 10 business days to post it.
- Credits are issued in the name of the person or company that paid, are valid for 12 months from the date of the workshop you cancelled, can be used for any public workshop of equal or lower price (or toward a higher-priced one if you pay the difference), and have no cash value.
5. Minimum enrollment
Each public workshop has a minimum enrollment, shown on its page. If a workshop has not reached its minimum 3 days (72 hours) before the start time, we may cancel it. If we do, we will email you right away and you choose either a full refund or a free transfer to another date or workshop.
6. If we cancel, reschedule, or change a workshop
- Cancellation or rescheduling by us. If we cancel or reschedule a workshop for any reason, including illness, emergency, low enrollment, venue problems, or a technical failure on our side, you choose a full refund or a free transfer to another date or workshop. If you do not tell us your choice within 14 days, we will refund you.
- Hurricanes and severe weather. If a tropical storm or hurricane watch or warning is issued for Broward County or the venue's county, or local officials advise against travel, we may move an in-person workshop online or reschedule it. If the new date or format does not work for you, you may have a full refund.
- Technical problems. If a problem on our side (for example, our meeting platform failing) prevents us from delivering substantially all of a virtual workshop, we will reschedule the session or refund you, at your choice. We are not responsible for problems with your own device, software, or internet connection, but we will send you the materials and, if one exists, the recording.
- Other changes. We may make reasonable changes to the agenda, presenter, meeting platform, or venue (within the same general area). We will tell you about any significant change before the workshop.
- Your other costs. Our responsibility is limited to refunding what you paid us for the workshop. We are not responsible for travel, lodging, or other costs you incur, so we recommend refundable travel arrangements for in-person workshops.
Part B: Recording, confidentiality, and conduct (all workshops)
7. Keep confidential information out of the room
Workshops are about using AI safely, so please practice it: do not share passwords, customer personal information, or confidential details about your company or clients in questions, chat, or exercises. We provide sample data for hands-on exercises. Use it instead of real business data. We will not publish your questions in a way that identifies you or your company.
8. Recording policy
- Our recordings. We may record virtual public workshops so that registered attendees can watch a replay, and so we can improve the workshop. If a session is being recorded, we will say so on the workshop page and at the start of the session, and the meeting platform will display a recording notice. Breakout rooms and one-to-one conversations are not recorded.
- Your choices. Florida law requires the consent of all parties to record a conversation. By staying in a recorded session with your camera or microphone on, you consent to being recorded. If you prefer not to appear in the recording, keep your camera and microphone off, use any display name you like, and send questions privately to the host in chat.
- Who can see replays. Replays are shared only with people registered for that workshop, through a link that expires 30 days after the session. We delete raw recordings within 90 days, except short excerpts that do not show or identify any attendee, which we may keep to improve our training.
- Private workshops are recorded only if the client asks in writing. The client is responsible for telling its employees and obtaining any consent they need to give.
- Your recordings. You may not record, photograph other attendees, or use AI note-taking or meeting-recording tools or bots in a workshop without our prior written permission. Other attendees have not agreed to be recorded by you.
- In-person photos. We may take photos at in-person workshops. We will ask before taking or publishing any photo in which you can be identified, and you can say no.
9. Conduct
We want every workshop to be useful and welcoming. You agree to:
- Treat the presenter and other attendees with respect. Harassment, discrimination, threats, and hateful or sexually explicit content are not allowed.
- Not sell to or solicit other attendees during the workshop or through the attendee list or chat.
- Not disrupt the session, share the joining link with anyone who is not registered, or try to interfere with demonstration systems.
- Follow the venue's rules at in-person workshops.
We may mute or remove anyone who violates these rules. If we remove you for a serious or repeated violation, you will not receive a refund or credit.
10. Workshop materials
Workshop materials belong to Open Arm Solutions. We grant each attendee, and the attendee's employer, a non-exclusive license to use and adapt the materials for their own organization's internal purposes, including adapting templates such as our AI Acceptable Use Policy for internal use. You may not resell, republish, or redistribute the materials outside your organization, or use them to teach or consult for others, without our written permission.
11. Educational purpose
Workshops are educational. They are not legal, tax, financial, or investment advice, and they do not create a consulting or professional relationship. AI tools we demonstrate belong to third parties, change often, and can produce wrong output. Examples of savings or results are illustrative, and your results will vary. You are responsible for how you use what you learn, and for reviewing any AI tool's terms and data practices before using it with business data.
Part C: Accessibility
12. Accessibility and accommodations
We want everyone to be able to take part.
- Virtual workshops use a platform that supports live captions, keyboard navigation, and screen readers. Materials are provided in digital formats that work with assistive technology.
- In-person workshops are held in wheelchair-accessible venues.
- If you need an accommodation, such as a sign language interpreter, captions, materials in another format, or seating arrangements, tell us when you register or email openarmsolutions@gmail.com. Please give us at least 7 days' notice, or at least 10 business days for a sign language interpreter, so we can arrange it. We will do our best to meet later requests too.
- Reasonable accommodations are provided at no extra charge.
- We ask only for the information we need to provide the accommodation and delete it within 30 days after the workshop.
Part D: Private team workshops
Private workshops are delivered to one organization's team, as a half-day or full-day session, online or at your location. The scope, date, format, attendee limit, customization, and fee are set out in your written quote or proposal ("Quote"). Our current prices are $2,500 for a half day and $4,500 for a full day, plus any travel costs described below.
13. Deposit and payment
- A deposit of 50% of the workshop fee is due when you accept the Quote. Your date is reserved only after we receive the deposit.
- The remaining 50% is due no later than 7 days before the workshop date. If you book within 14 days of the workshop date, the full fee is due when you book.
- For in-person workshops in Broward, Miami-Dade, or Palm Beach County, travel is included. For other locations, the Quote lists estimated travel costs, which you pay at actual cost and only as approved in advance.
14. If you reschedule or cancel

15. If we cancel
If we must cancel or reschedule a private workshop, including for illness or severe weather, you choose either a new date at no extra cost or a full refund of everything you paid us.
16. Your responsibilities
- Tell us your expected attendee count and anything we should know about your team, tools, and goals during the pre-workshop planning call.
- For on-site workshops, provide a suitable room, a screen or projector, power, and reliable Wi-Fi.
- Your organization is responsible for its own employees' conduct during the session and for any internal policies about attendance or recording.
17. Confidentiality
We keep confidential any non-public information you share with us to prepare for or deliver a private workshop, and we use it only for that purpose. We will sign a mutual nondisclosure agreement on request.
Part E: General
18. Liability
Our total liability for any claim relating to a workshop is limited to the amount you paid us for that workshop, as further described in our Terms of Use.
19. Feedback and testimonials
We may ask for feedback after a workshop. We will publish a quote from your feedback, with your name or company, only with your permission.
20. Changes and contact
We may update these Workshop Terms by posting a new version with a new effective date. The version in effect when you booked applies to that booking.
